Getting commissioned as a notary public is a proud achievement—but once your certificate is in hand, what’s next? Whether you’re heading to a client’s home, meeting someone at a hospital, or helping with a loan signing at a coffee shop, being organized and professional from the start makes all the difference.

1. Your Notary Seal

This is your official stamp—literally. Most states require mobile notaries to use an ink stamp or embossing seal to complete notarizations. If your state allows embossers, it’s a good idea to also carry a seal impression inker. This makes the seal visible in photocopies, which many receiving agencies require. Always double-check your state’s notary rules, and keep your seal in a secure place when not in use.

2. A Reliable Notary Journal

Even in states where notary journals (also known as record books) aren’t required, they’re strongly recommended. Your journal is your legal record of what took place during a notarization. It can protect you if a signing is ever questioned. Be sure to record full details of each notarization, and have signers provide a thumbprint when appropriate. In mobile notary work, documentation is your best defense.

3. General Office Supplies

You never know when you’ll need an extra pen or have to staple a loose notarial certificate. That’s why keeping a stash of blue and black ink pens, paper, paper clips, sticky notes, and a stapler in your mobile toolkit is a smart move. Many real estate closings, for example, require documents signed in specific ink colors—being prepared avoids unnecessary delays.

4. Loose Notarial Certificates

Sometimes you’ll encounter documents that either lack a certificate or include wording that doesn’t comply with your state’s requirements. Rather than turn away a client, be prepared with state-approved acknowledgment and jurat certificates. Having these loose certificates—or certificate stamps—ensures you can complete the job legally and efficiently.

5. Your State’s Notary Handbook

Even the most experienced notaries come across gray areas. Whether you’re unsure if a signer’s ID qualifies or need a quick refresher on a unique notarial act, your notary handbook can be a lifesaver. Keep it printed or saved digitally on your phone or tablet for quick reference during appointments.

6. Business Cards
